Appointment Scheduling Issues

Missing API Key Error

Problem: missing api_key location_id or calendar_id for GoHighLevel Solution:
  1. Go to Assistant Prompt & Tools
  2. Navigate to Appointment Scheduling
  3. Click Disconnect
  4. Click Connect again to re-authorize
  5. Select a calendar from the dropdown
  6. Click Save
  7. Confirm the connection remains active

Connection Problems

OAuth Authorization Fails:
  • Try incognito mode
  • Verify correct GoHighLevel account selection
  • Confirm admin permissions

Calendar Not Appearing

Calendars do not show in assistant settings:
  • Disconnect and reconnect integration
  • Verify calendar exists in GoHighLevel
  • Check calendar permission scope

Booking Failures

Appointments are not being scheduled:
  • Ensure assistant can access customer email (required)
  • Verify calendar has open availability
  • Check time zone settings in both systems
  • Review call transcripts for booking attempts
  • Validate GoHighLevel booking restrictions

Data Mapping Problems

Lead data not syncing correctly:
  • Verify automation field mapping
  • Check required fields in GoHighLevel
  • Test with sample lead data
